replace SaaS subscriptions

Replace several software subscriptions with one system

Many businesses pay monthly for a CRM, a job tracker, a booking tool, e-signatures and an automation tool to connect them. Bringing that work into one bespoke system can lower the monthly cost and end the copying between tools.

What this solves

Off-the-shelf tools are quick to start with, but the costs grow with every user, add-on and annual price rise, and the tools rarely share information. Replacing the overlap with one system built around your process can lower the monthly cost and remove the work of keeping several tools in step.

Benefits

Why one system can cost less and work better

One predictable monthly cost

One monthly licence that includes hosting and maintenance, instead of several subscriptions that each rise with users, add-ons and renewals.

Only the features you use

Pay for a system built around your process, not for the features a vendor bundles into each plan.

Information entered once

Customers, jobs, bookings and documents share one record, so there is nothing to copy and no sync tool to break.

One login and one place to manage access

Add a new starter or remove a leaver in one system rather than five.

Reports across the whole business

See sales, jobs, bookings and invoices together without exporting from each tool.

You decide what changes

No vendor removing a feature, changing a plan or raising prices at renewal.

Calculator

What do your current tools cost?

List what you pay for each month. The total includes the staff time spent moving information between tools.

Example figures are filled in. Replace them with the tools you pay for. For a flat-fee tool, enter the monthly price and 1 user.

What your current tools cost each year£9,384Over three years: £28,152
Subscriptions each month£575£6,900 a year
Staff time moving information£2,484138 hours a year

Subscription prices usually rise with each new user and at renewal, so the three-year figure is often an underestimate.

Honest advice

When off-the-shelf is still the better choice

A bespoke system isn’t the right answer for every business. We will tell you if your current tools are the better option.

  • You use one or two tools and they fit your process well
  • A tool is an industry standard your customers or partners expect
  • Your team is small and unlikely to grow
  • You need something working this week

Frequently asked questions

Questions about replacing software subscriptions

Is one bespoke system always cheaper than several subscriptions?

No. It is most likely to cost less when you pay for several overlapping tools, when costs rise with every new user, or when staff spend hours keeping the tools in step. If one or two tools do the job well, we will tell you to keep them.

What happens to the information in our current tools?

Most tools let you export your data. We review it, agree what is worth keeping and import it into the new system before you cancel the old subscription.

Can we keep some of the tools we use?

Yes. We often connect to software such as QuickBooks, Microsoft 365, Stripe and Twilio rather than replace it, so each tool does the job it is best at.

Do we have to cancel everything at once?

No. We replace the tools with the most overlap first. You cancel each subscription once the part of the new system that replaces it is live.

How much does a bespoke system cost?

It depends on the workflow, users, integrations and data involved. After the free review we send a written proposal with the price and a monthly licence that includes hosting and maintenance, so you can compare it with what you pay now.
