Hours per year = people × (minutes each time ÷ 60) × times per week × working weeks.
Annual cost = hours per year × hourly staff cost. The monthly saving applies the share of work you expect software to remove, divided by 12.
The yearly and three-year savings show roughly how much a new system could cost and still pay for itself over that period, before any ongoing fees.
Use the hourly salary plus employer costs such as National Insurance and pension contributions. If you’re unsure, a figure a little above the hourly wage is a reasonable starting point.
